The Park Apartments and Suites Vacating Instructions

The following are instructions to help guide you through the end of license agreement move-out process for the academic year or summer term.

Log into the Student Housing Portal and start the Express Checkout Process and follow the check-out instructions below: 

  • Step 1: Clean your room space and remove all of your *personal belongings including any trash and recycling. If you are in a kitchen unit, remove all of your items from the pantry and fridge. You will be billed for cleaning/repair of your unit and for leaving any items behind. Wall items that peel off with damage will also be billed for repair.  Any items left behind believed to be worth less than $300 may be disposed without further notice if you fail to reclaim it after your move out date.
  • Step 2: Bedroom furniture must be placed back in the correct configuration when you took possession of the room. 
  • Step 3: Secure your unit. Make sure to lock all doors and windows. Turn your thermostat off and turn off all lights. 
  • Step 4:  Update your forwarding address via the Student Housing Portal and CSUN Portal.
  • Step 5:  If you have a physical NFC card, you will need to return it to avoid being charged a lost key fee; HOWEVER, all key cards and MataCard access will expire at 1 p.m. You will not be let back into your room after your key card or MataCard is expired.

Important: Failure to follow these steps will result in a $100 improper checkout fee  per the terms of your license agreement.

* If the property is believed worth less than $300, it may be disposed of without further notice if you fail to reclaim it within the time indicated above. If the property is believed worth $300 or more, it will be disposed pursuant to California Civil Code section 2080.8. Section 2080.8 provides that after three months and notice of sale at public auction, the property may be sold at public auction to the highest bidder. The regulations provide that CSU may dispose of any such property upon which no bid is made.

Keep in mind, moving out earlier than the end of your license agreement for the academic year or summer term will not result in pro-rated charges.

When you are ready to move out, log into the Student Housing Portal and complete the Express Checkout via the following instructions. 

Express Checkout Instructions

  • Step 1: Log into the Student Housing Portal
  • Step 2: Go to the Student Login Link
  • Step 3: In the red menu bar, go to the Express Checkout link
  • Step 4: Read through the checkout checklist, then sign and submit the form. You may also upload a photo(s) of your room and common shared areas to confirm no items were left behind and that your unit has been cleaned.

You will receive an automated email confirming your express checkout has been completed.  This form is important because it will confirm that you moved out of your room and we can go in and inspect and clean.

  • Step 1: Log into the Student Housing Portal
  • Step 2: Go to the Self Checkout link
  • Step 3: Complete and submit the form

After you have submitted the online Self Checkout Agreement form, you will receive an email confirmation and access to your room on your MataCard will expire.

Village Apartments Vacating Instructions

The following are instructions to help guide you through the move-out process if you have been approved to be released from your housing license agreement or vacating at the end of your license agreement.

Step 1: Clean your apartment thoroughly and be sure no trash, recycling, or *personal belongings are left behind inside your apartment, outside on your patio or balcony area and the common areas of the University Village Apartments complex.

You will be billed for cleaning/repair of your unit and for leaving any items behind. Wall items that peel off with damage will also be billed for repair. Any items left behind believed to be worth less than $300 may be disposed without further notice if you fail to reclaim it upon your move out date.

  • Step 2: Contact SoCal Gas and LADWP to disconnect service from your name on your scheduled move out date.
  • Step 3: Update your forwarding address via the Student Housing Portal and CSUN Portal. Contact the Mail room at (818) 677-2686 if you have any questions regarding your forwarding address.
  • Step 4: After moving out, return all issued key cards, mail keys, and other physical keys to the Student Housing Office during business hours (Mon–Fri, 8 a.m.–5 p.m.).

If you move out on a weekend or holiday and cannot return your keys on the next business day, call (818) 677-2160 to arrange a drop-off. Keys must otherwise be returned by the next business day after your checkout/cancellation date to avoid charges ($25 per key + $100 improper checkout). Your account will not be adjusted until keys are returned—plan accordingly.

If you have a gate opener, return it to Parking Services at the Department of Police Services (Darby Ave. & Prairie St.) to receive your deposit.

Before leaving, ensure all windows are locked, all lights, water, gas, and AC are turned off, and your door is fully closed.

  • Step 5: After you have fully moved out of your unit, follow the steps below and complete the online Self Checkout form in the Student Housing Portal.

Self Checkout Instructions

  • Step 1: Log into the Student Housing Portal
  • Step 2: Go to the Self Check Out link
  • Step 3: Complete and submit the form

After submitting the form, you will give back possession of your unit to Student Housing so we can finalize the inspection and process your cancellation.

Additional Information

Upon the inspection of your unit by Housing Facilities staff, your security deposit will be refunded to you within 21 days of moving out. Any remaining balance on our University Student Account or assessed maintenance charges will be deducted from your security deposit before being refunded.  Lastly, please check your student account for any adjustments that may be made.
