Location Agreement 

A Location Agreement is a legal contract between the production team and the owner or manager of a location where filming will take place. This document grants permission to use the property for filming and outlines the terms and conditions to protect both parties. 

Why is it Important? 
  1. Secures the Location: Ensures that the property is reserved for your production during the agreed dates and times. 

  1. Defines Responsibilities: Covers key details such as access hours, clean-up requirements, and any restrictions on use. 

  1. Protects Everyone: Addresses liability, insurance coverage, and damages to safeguard both the property owner and the production team. 

When to Complete It? 

During pre-production, before entering or using the location for scouting or filming, the agreement must be reviewed, signed, and approved by both parties.

Location Release  

A Location Release is a document signed after filming is complete, confirming that the location has been restored to its original condition and releasing the production team from any further responsibility. 

Why is it Important? 
  1. Final Approval: Confirms that the property owner or their representative is satisfied with how the location was left after filming. 

  1. Protects the Production: Releases the production from future claims related to damage or improper use of the location. 

  1. Closes the Agreement: Finalizes the terms of the initial Location Agreement, ensuring both parties have fulfilled their obligations. 

When to Complete It? 

The Location Release should be signed on the last day at the location, after all cast, crew, and equipment have been removed, and once the site has been restored to its original state. This final step ensures there are no unresolved issues and that both parties agree filming has concluded satisfactorily. 

 

Location Protection Plan 

What Is This? 

The Location Protection Plan is a required document that helps student productions protect filming locations, prevent property damage, and meet insurance and risk management requirements. 
 
It outlines how your crew will safely operate in each location while respecting the property and the owner’s rules. 

Why It Matters 

Locations are one of the highest-risk areas for student productions. Damage to property can result in: 

  • Financial liability 

  • Insurance claims 

  • Loss of filming privileges 

  • Delays or shutdowns. 

Completing this plan demonstrates that your team has identified risks, planned protection measures, and taken responsibility for the location. 

When Is It Completed? 

The Location Protection Plan is completed after locations are selected and during the Tech Scout. 
During the Tech Scout: 

  • The 1st AD leads the walkthrough using the preliminary stripboard 

  • Departments review scene-by-scene needs 

  • The production team identifies logistics, traffic paths, and protection strategies 

  • Location rules and restrictions are confirmed 

Who Completes It? 

The plan is typically completed by the Producer(s) in collaboration with: 

  • 1st AD 

  • Production Designer or Art Department 

  • Location owner or representative, when applicable. 

How Is It Used? 

The checklist helps your team plan for: 

  • Floors, walls, furniture, and décor protection 

  • Equipment paths and high-traffic areas 

  • Exterior access, parking, and utilities 

  • Cleanup and wrap procedures 

  • Insurance and risk considerations 

  • Special scenarios (e.g., liquid fake blood) 

This document should also be referenced during safety meetings. 

Submission Requirements 

The completed Location Protection Plan with attachments (photos, videos) must be submitted to: 

  • Your instructor. 

  • CTVA Insurance Department (when applying for Certificates of Insurance): ctva_insurance@my.csun.edu 

Submission is required before filming as part of the Safety & Insurance Greenlight Process.
