TUC Electronic W2 Form and eTime Initiatives

September 12, 2019

Dear Principal Investigators and Research Administrators:

As the campus moves towards more sustainable and cost effective systems, we in The University Corporation (TUC) are also increasing our efforts to support campus initiatives on sustainability. This fiscal year, The University Corporation will be rolling out two initiatives to increase our efforts and commitment to improve processes and reduce our carbon footprint.

Electronic W2 form

TUC Employees may now choose to receive their W2 form electronically in lieu of the paper version. Aside from going paperless, there are several benefits of receiving your W2 form electronically, including protecting your identity since you will be accessing your form via a secured website. Additional information can be found on the attached PDF document.

ADP Time and Attendance®, also known as eTime

Beginning this fiscal year, TUC will begin the transition to use electronic timecards from ADP Time and Attendance®, also known as eTime, in sponsored projects rather than paper timesheets. This cloud-based system allows users the freedom to view, edit, and approve timecards at any time, as well as provides an added level of security since secure employee login prevents any unauthorized changes to timecards and lets both user and supervisor keep track of a user’s activity within eTime.

Currently, we have over 50% of project employees already using eTime and TUC is prepared to provide as much assistance as needed during this transition. We will reach out to each PI and will assist with this transition, which includes a personalized assistance with one of our Payroll Specialists to help you with set-up and to provide a one-on-one training for you and your employees if needed. As part of the transition, starting October 1, 2019, all new PIs will have their sponsored projects enrolled in eTime.

We hope to give all of our employees access to electronic timesheets by January 1, 2020. If you desire to transition to eTime sooner, please feel free to contact TUC Payroll department by phone at 818-677-5416, or via email at tuc.payroll@csun.edu. An early set up gives you the advantage of getting used to the system before it is rolled out to all projects.

Thank you,

Grace
