Schedule Hybrid Classes

INTRODUCTION 

This guide reviews how CSUN staff granted security access to the Schedule of Classes (SOC) schedules hybrid (share-the-space) classes. CSUN currently offers eight (8) course types, one of which is taught half online and half on campus. View Online Course Designations.

This guide discusses the Hybrid (OH) course type:

Hybrid (OH) is a course offering in which students attend class sessions on campus and in an online environment. The class typically meets approximately half online and half on campus. Whenever possible, two hybrid classes will share one room on the day the other class is taught online. Thus the name share-the-space classes because it optimizes the use of one facility for two classes efficiently. If not sharing a space, OH classes will not be counted towards the online analysis. If not sharing a space, OH classes should be scheduled on Fridays or non-primetime hours. 

Consult with Academic Resources for options before deviating from the 75-minute weekly meeting pattern for the in-person portion of an OH class. The in-person and online portions should each represent approximately half of the total contact hours required.  

Final Examinations: Hybrid classes have a final exam on the day and time that they occupy the room. The Exam Scheduler will assign an exam based on the information entered ONLY on the first meeting pattern row.

Several “creative” varieties of hybrid courses are being scheduled and have been approved by Academic Resources, including:

  • 50/50 hybrid –Meets twice a week (a one-day/week class is split into two meeting patterns/week) half on-campus and half-online. Do not forget to halve the time too.
  • Same-day hybrid with on-campus meetings occurring once in alternating weeks. Schedule as a once/week class.  List the on-campus pattern first so the exam scheduler can assign a final exam in the room when the class meets.
  • Double-day hybrid – Meets three times/week, twice on campus and once online. This summer lab example is scheduled twice/week for 3hr 10m per meeting. Instead one meeting was halved, which shortened the duration of each meeting to 1h 35m. The third meeting remains online for 3h 10m.
  • Alternating Weekly – We have come across a scheduling pattern that looks like an extension of the OH classes; i.e., two OH classes alternating on-campus meetings on a weekly basis. We are suggesting that each individual date be entered in the meeting pattern. Two issues raised: (1) final exam scheduling; (2) meeting the Carnegie hours requirement for these classes; and 3) SOLAR and EMS will reflect the true meeting patterns in the event of any safety concerns.

Example:
Class A meets F 0800-0915 in BH 312 Weeks 1, 3, 5, 7, etc. (and online on another day)
Class B meets F 0800-0915 in BH 312 Weeks 2, 4, 6, 8, etc. (and online on another day)

Verify that final exams are accommodated for aberrantly scheduled hybrids. For hybrids that have exams: Enter the exam manually and delete the Exam Time Code so we know that the exam was scheduled by the department and not automatically by SOLAR.


Step 1

After logging into the myNorthridge Portal:

  1. Click SOLAR SA.
  2. Click Maintain Schedule of Classes.

Step 2

The Find an Existing Value page displays.

  1. Enter the Term and Subject.
  2. Click Search.
  3. Select the course from the Search Results.

If the course does not display in the Search Results, use Schedule New Course to establish the course in the Schedule of Classes.

Step 3

The Basic Data page displays.

Navigate to an existing section or click the plus (+) sign to add a new section.

  1. Enter the two-digit Class Section number.
  2. Enter the matching Associated Class number (no leading zero).
  3. Click the plus (+) sign to create a new attribute row if one doesn't already exist.
  4. Enter OLNE in the Course Attribute field.
  5. Enter OH in the Course Attribute Value field.

Step 4

Go to the Meetings page. You'll create two meeting patterns as described in Steps 4 and 5.

#1 IN-PERSON MEETING

Meeting Pattern:

  1. Enter a Facility ID.
  2. Enter the day in the Pat field.
  3. Enter meeting start/end times. Adjust the time to 1hr-15m (75 minutes) for the in-person meeting day (note: SOLAR will automatically populate a one-day a week time and it'll need changing).
  4. Enter the mode of instruction for the section in the Class APDB Mapping Value link.
  5. Enter the Space Type for the first individual meeting pattern in the Meeting APDB Mapping Values link.

Assignment Tab

  1. Enter the instructor's ID.
  2. Select Primary Instructor as the the instructor's role type.
  3. Check the Print box to publish the instructor's name on Class Search.
  4. Enter Approve as the instructor's grading method in the Access field.
  5. Verify the Empl Rcd# and enter the number if blank (use lookup).

  1. Verify that the Assign Type is IFF and that the Load Factor is 100%.

Step 5

#2 ONLINE MEETING

Meeting Pattern:

  1. Click the plus (+) sign to create a second meeting pattern row.
  2. Enter ONLINE in the Facility ID.
  3. Enter ARR in the Pat field -OR- a day and time if the online portion is synchronized.
  4. Enter the Space Type for the second individual meeting pattern in the Meeting APDB Mapping Values link.

Assignment Tab - No Instructor:

When adding more rows, the instructor info is copied to subsequent rows.

  1. Click the minus (-) sign to delete the Instructors for Meeting Pattern.
  2. Click SAVE. You're done.

If you opt to add the instructor to the online pattern, skip the delete process above and follow these steps instead:

Assignment Tab - Add Instructor:

  1. Enter the Instructor's ID.
  2. Enter Approve in the Access field (grading access).

Workload Tab:

  1. Assign Type is "Not Incl"
  2. Enter zero in the Load Factor.
    If 100.000 returns, change the Assign Type to something else and back to Not Incl. Delete 100.000 Load Factor and press tab.
    The Load Factor, Work Load, and AutoCalc should be BLANK before saving.
  3. Click SAVE. 

Step 6

Go to the Enrollment Cntrl page to enter the enrollment requirements and seating capacity for the fields listed below:

  1. Class Status
  2. Add Consent
  3. Enrollment Capacity

Step 7

Go to the Notes page to add the required HYBRID note.

  1. Enter 9997 in the Note Nbr field.

IMPORTANT! Only one note is allowed per row. Click the plus (+) sign to create more rows for additional notes.

Final Examinations

Hybrid classes have a final exam on the day and time they occupy a room, unless the catalog designation for the course is No.

The Exam Scheduler will automatically assign an exam based on the FIRST meeting pattern row.
