Hiring Procedure

Project Staff is hired through the general hiring procedure.

Responsible Task
1. Principal Investigator Initiate 'Recruitment Process'

  1. Go to web site: Action Request Form - Auxiliary (doc)
  2. Complete the following sections of the 'Action Request Form - Auxiliary'
    • Employee/Position Information
    • Payroll Information
    • Action Requested - Requisition part, only
    • Contact Information
    • Signatures/Approvals
  3. Go to web site: Position Description Form (word)
  4. Complete the 'Position Description Form'
  5. Print both forms
  6. Sign both forms
  7. Copy both forms and maintain copies for your file
  8. Send completed and signed forms to:

    Human Resources Department - MD 8309

    Or have the form personally delivered to:

    The University Corporation

    Sierra Center , 3rd floor
2. TUC - Human Resources Dept.
  1. Review the 'Action Request Form - Auxiliary' and 'Position Description Form' for completeness and correctness
  2. Forward the 'Action Request Form - Auxiliary' and 'Position Description Form' to the TUC-Sponsored Programs Dept.
3. TUC - Sponsored Programs Dept.
  1. Conduct budget check and approve form
  2. Forward 'Action Request Form - Auxiliary' and 'Position Description Form' to TUC - Human Resources Dept.
4. TUC - Human Resources Dept.
  1. Forward 'Action Request Form - Auxiliary' and 'Position Description Form' to CSUN-HR Dept. for recruitment processing.
5. CSUN - Human Resources Dept.
  1. Review 'Action Request Form - Auxiliary' and 'Position Description Form' for proper classification.
  2. Prepare draft version of 'Position Posting'
  3. Email draft version of 'Position Posting' to Principal Investigator for review
6. Principal Investigator
  1. Review/Edit/Approve draft version of 'Position Posting'
  2. Email changes/approval to CSUN-Human Resources Dept.
7. CSUN - Human Resources Dept.
  1. Post position on CSUN web site for at least two (2) weeks
  2. If mentioned on 'Action Request Form - Auxiliary' position will be advertised externally
8. CSUN - Human Resources Dept.
  1. Receive applications
  2. Screen applications for minimum requirements
  3. Forward qualified applications to Principal Investigator
9. Principal Investigator
  1. Review applications and select candidates for interview process
  2. Conduct interview and select final candidate
  3. Complete Auxiliary - Applicant Selection and Disposition Form (word)
  4. Send completed 'Auxiliary - Applicant Selection and Disposition Form' to CSUN-Human Resources Dept.
10. CSUN - Human Resources Dept.
  1. Review 'Auxiliary - Applicant Selection and Disposition Form'
  2. Contact final candidate and offer position
  3. Upon acceptance set-up appointment with Candidate for sign-in process
  4. Notify Principal Investigator of acceptance
  5. Process Appointment Documents
  6. Forward Appointment Documents to TUC Human Resources Dept.
11. Principal Investigator
  1. Provide Candidate with New Employee Sign-In Form
-no further activities by the Principal Investigator are required-
12. Complete Sign-In Process

(Note: Candidate must complete sign-in on or before first day of work)

  1. Bring required forms of ID and work authorization as listed on the bottom of the 'New Employee Sign-In Form'
  2. Go to:
    CSUN-Dept. of Human Resources
    University Hall - Room 165
  3. Complete Sign-In Process
-if the position is not benefited, no further activities by the New Employee are required-
13. TUC - Human Resources Dept.
  1. Receive Appointment Documents from CSUN-Human Resources
  2. Create Payroll Profile in the ADP system
  3. Forward Appointment Documents to TUC Payroll Dept.
  4. File Appointment Documents (for Salaried Appointments)
14. TUC - Payroll Dept.
  1. File Appointment Documents (for Hourly Appointments)
15. For Benefited Positions, only

  1. Contact TUC - Human Resources Dept. to set-up appointment for Benefit Orientation meeting
-no further activities by the New Employee are required-
16. TUC - Human Resources Dept. For Benefited Positions, only

  1. Conduct Benefit Orientation meeting with Candidate
  2. Set-up employee benefits
