Outlook 2007 Questions

Q: Why were my Contacts and Calendar entries merged into one shared set of categories in Outlook 2007? 

A: The new features in Outlook 2007 have combined the Outlook 2003 categories and calendar color coding into one set of color coded categories across both functions. If you are importing your calendar and contacts into Outlook 2007 you will need to reassign the color coding you might have used in Outlook 2003.

Q: Why are my calendar entries truncated in the Week and Month view? I have to open a meeting to read the entire description.

A: Just as in Outlook 2003, the amount of information displayed for a meeting depends on your display preferences. You can view your calendar by Day, which displays the most information without having to open each item. You can view your calendar by Week, which displays a truncated version, or by Month which displays the least amount of information on each day. You can switch between views by clicking the Day, Week, or Month buttons at the top of the Calendar View.

Q: Why do my calendar entries get truncated when I print my calendar in 2007 when they were not in 2003? 

A: To maximize what will display and print on a calendar, you can change the font options and maximize the window. To do this: select View > Current Views > Customize Current View, click the “Other Settings” button, on the Format view dialog box, next click the “Font” button under Month,  change the Font to 8pt Arial Narrow. This option will maximize what displays on your month view. Do the same under the Day and Week sections if you are experiencing the same problem. However, your appointments may still not display all the text depending on the number of characters in the subject line. You can maximize the viewable calendar window by clicking on the “minimize navigation pane” arrows at the top of the navigation pane.

Q: Why can’t I update an appointment in my calendar without sending a notice to all attendees?

A: Outlook 2007 helps you ensure that all meeting attendees are aware of any changes made to a meeting. These types of changes include time, location, or even correcting a typo in the subject line. If you are the appointment creator and are making a change in which you only want it to be seen on your calendar open the appointment, make the necessary changes, and click the X in the upper right hand corner of the appointment window. The Microsoft Office Outlook dialog box displays with 3 selection boxes. Select the appropriate choice and click the "OK" button.  If you are the recipient of an appointment and you want to make a change to the appointment on your calendar open the appointment, make necessary changes, and click the "Save & Close" button.

Q: Why can’t I launch Contribute 4 from inside Outlook 2007?

A:  The plug-in for Adobe Contribute 4 has not been updated by Adobe to work within the browser in Outlook 2007. You can open a new window through your web browser and then launch Contribute 4.

Word 2007 Questions

Q: Why does the large Word document that I created in Office 2003 display improperly in Office 2007?

A: According to Microsoft, Word will only support a document up to 32 MB in size. They have successfully tested documents up to 65 MB in size but stability is not guaranteed in any document larger than 32 MB. For larger documents, you can separate them by chapter or headings and save them as individual documents then merge them when you print. Alternatively, you can choose a desktop publishing application like Microsoft Publisher.

Q: How do I make the rulers display in Word?

A:  Select the View tab in the Ribbon and in the “Show/Hide Group,” check the Ruler to display rulers on your document.

Q: How do I print a document?

A: You can click on the Quick Print icon on the Quick Access toolbar or you can click on the Microsoft office Button in the upper left corner of the window to display the Office menu and select Print.

Excel 2007 Questions

Q: Where is the Find and Replace tool in Excel?

A: Find and Replace are located on the Home tab in the “Editing group.” It is called the Find & Select and is marked with a pair of binoculars icon. Click Find and Select to display a drop down menu that includes the Find, Replace, and Go To feature. You can also use the hot key command <CLRL+F> to display the Find and Replace dialog.

General Office 2007 Questions

Q: Why can’t my coworker, who is still on Office 2003, read a document I sent?

A: Office 2007 uses a new file format that is not backwards compatible with previous versions. There are 2 ways to fix this issue:

You can choose “Save As” and select "Office 97-2003 version" when you save your document. Or, your coworker can install the Microsoft Office Compatibility Pack that will enable a computer with Office 2003 installed to open and work with files created in Office 2007. Q: Why can’t I read PDF documents using Acrobat Professional 7.0?

A: You will need to update your current version of Adobe Acrobat to Acrobat Professional 8.0 Contact your local desktop support to install the most current version of Adobe Acrobat Professional.
