Microsoft Exchange for Faculty – FAQs
Initial Questions
Q. Who is affected by the transition to Microsoft Exchange?
A. This transition affects only faculty members. Microsoft Exchange is the email system currently used by CSUN staff and administrators. Students were recently transitioned to Gmail powered by Google.
Q: Did my CSUN email address change?
A: No. Your CSUN email address remained the same.
Q: Were class lists impacted?
A: No. Class lists were not impacted.
Q: When did this change take place?
A: Faculty transitioned from Webmail to Microsoft Exchange on Friday, November 13th through Monday, November 16th and this resulted in a complete service interruption.
Q: Why did the university select this date for the faculty email change?
A: This email migration weekend was selected to allow enough time to assist faculty with the transition before the end of semester and allow us to terminate our existing email contract by December which saves money for the university.
Q: What happened during the service interruption on Friday, November 13th through Monday, November 16th?
A: Your CSUN email account was unavailable and any new email that you received was stored and transferred to Microsoft Exchange. Any email stored in your email account was transferred to Exchange.
Q: Were my students and colleagues able to send emails during the service interruption?
A: Yes. Any emails that were sent to you during the service interruption were stored until the completion of the email transfer. Any messages sent during this time appear in your new Exchange account.
Q: What happened to my old Webmail account?
A: Your existing Webmail account was decommissioned when your emails were transferred to your new account during the service interruption on Friday, November 13th through Monday, November 16th.
Q: What are some of the benefits of using Microsoft Exchange?
A: Microsoft Exchange provides a robust webmail interface with integrated calendars, contacts, voicemail and account utilities management. Exchange is compatible with mobile phones that support Active Synch which allow you to synchronize your email, calendar and contacts. If you are a current Outlook or Exchange user and would like to create a new Exchange account to access shared calendaring and contacts, instructions and benefits are available at http://www.csun.edu/it/services/exchange/add.html. The creation of a new Exchange account is completely optional and is not required to access your email in Exchange.
Accessing Email
Q: When can I access my new Exchange account?
A: Your new Exchange account is available effective Monday, November 16th.
Q: Was everything that was stored in my Webmail account transferred to my new Exchange account?
A: Yes. All contents stored in Webmail were automatically transferred to your new Exchange account. All of your mail folders, address books, and auto-forward settings appear in your new Exchange account.
Q: I currently access Webmail at https://www.csun.edu/webmail/. How do I access my new Webmail account?
A: You will continue to access your account by visiting this URL; however, you will select the Faculty & Staff CSUN Webmail icon to access the login page.
Q: I currently access Webmail from the CSUN homepage. How do I access my new Webmail account?
A: You will continue to access your account utilizing this method. Select the CSUN Faculty & Staff Email icon to access the login page.
Q: I currently use Microsoft Outlook to access my Webmail account. How do I access my new Exchange account?
A: Your settings have remained the same; however, you will need to make one small configuration change. Configuration instructions are available at http://www.csun.edu/it/services/exchange/configure.html. If you would like to have your account configured to share calendars and contacts, instructions are available at http://www.csun.edu/it/services/exchange/add.html.
Q: I currently use another email client to access my Webmail account. How do I access my new Exchange account?
A: Your settings have remained the same; however, you will need to make one small configuration change. Configuration instructions are available at http://www.csun.edu/it/services/exchange/configure.html.
Q: I am trying to connect to my Exchange account via Eudora.
A: If you are using POP, Eudora will not work with Microsoft Exchange.
Forwarding Email
Q: I previously forwarded all of my CSUN email to a personal email account. Did these settings also transfer to Exchange?
A: Yes. If you turned on the Forwarding option in Webmail, your settings automatically transferred to your new Exchange account. Your CSUN email address will continue to be forwarded to the email address stored in Webmail.
Q: Can I forward my CSUN email to a personal email account?
A: Yes. To forward your CSUN email to an external email address, visit https://exchangeweb.csun.edu/migrate-new/forwarding/ and log in with your CSUN user ID and password. Select Forward and enter the Forwarding Address. Click on Apply Changes to save.
Other Questions
Q: How do I change the way that my name appears in email?
A: Instructions on changing your Preferred Name in SOLAR are available at http://www-admn.csun.edu/ohrs/resources/preferred_name.html. Please note that the Last Name, First Name format cannot be changed to First Name, Last Name.
Q: I currently use Meeting Maker to schedule meetings with my CSUN colleagues. What will happen to my Meeting Maker account?
A: Microsoft Exchange provides options for an integrated calendar if you choose to use the new Webmail version, or if you choose to use Microsoft Outlook as your email client. The calendar in Microsoft Outlook will be available for those who would like calendar functionality. Meeting Maker will be decommissioned by the end of the Fall semester.
Q: Did the transfer to Microsoft Exchange impact my CSUN voicemail account?
A: Yes. Your Exchange account will be synchronized with your CSUN voicemail. An email will now be sent to your inbox when you receive a voicemail message.
Department Accounts
Q: Did this change impact department groups on Webmail?
A: Yes. Department accounts were also transferred to Microsoft Exchange.
Q: Our department has a shared email account. How can we all view, send and receive emails?
A: A designated owner has been assigned to the account. That owner can contact the IT Help Center to give proxy to anyone that is required.
Q: Our department has a main line that is shared by others. Can we all receive the voice message in our email?
A: One person has been designated as the administrator. That person can contact the IT Help Center to give proxy the others to receive mail messages via email. Users designated as proxies can share a common view of those messages; therefore, if one person retrieves the message, that message will display as "retrieved" to the other users.
Teaching Associates
Q: Was my Webmail account also transferred to Microsoft Exchange?
A: No. Effective the evening of November 16th, your Teaching Associate Webmail account was merged with your campus Gmail account. Any email that is sent to your old "@csun.edu" will be automatically forwarded to your updated "@my.csun.edu" email address. If you have not accessed Gmail before, you are required to reset your CSUN password prior to accessing Gmail for the first time. Instructions on accessing Gmail and changing your CSUN password are available at http://www.csun.edu/it/services/studentemail.html#access.
Q: How can I modify my "From" address in Gmail?
A: The following feature is only available to current Teaching Associates. Once you are no longer a TA, any email that is sent to your "@csun.edu" email address will not be automatically routed to your "@my.csun.edu" email address. You will have to log in to Gmail and change your "From" address back to "@my.csun.edu."
If you are a TA and would like your email address to read "jane.doe@csun.edu" instead of "jane.doe@my.csun.edu" when you send email, follow these steps:
- Login to Gmail at http://my.csun.edu/.
- Click on Settings.
- Select the Accounts tab.
- Click on Add another email address you own next to Send email as.

- Enter your "@csun.edu" email address in the Email address field.
- You will be prompted to verify your CSUN email address. Click on Send Verification.
- A verification code will be sent to your Gmail Inbox.
- Obtain your verification code and return to your Account Settings.
- Enter your verification code and click on Verify.
- You will be routed back to the Accounts window and your "@csun.edu" email address will be listed under Send mail as.
- Click on make default to modify your address to "@csun.edu."
- Your "From" address will default to your "@csun.edu" email address.
- Any email that you send from your Gmail account will appear to be sent from your "@csun.edu" email address. If you would like to send an email from your "@my.csun.edu" email address, click on the drop-down arrow to view other email addresses that you have stored in Gmail.
