2007 EXHIBITOR APPLICATION PROCEDURES

Please come prepared to the 2006 Technology

and Persons with Disabilities Conference…

 

Bring the Completed 2007 Exhibitor Application and

Deposit to Reserve Your Exhibit Space for 2007!

 

 

 

Exhibitor applications will be accepted at the Conference Registration desk at either the Hilton or Marriott Hotels during regular registration hours starting

8 AM on Thursday, March 23, 2006 through 1 PM on Saturday, March 25, 2006. Any exhibit space not held by a completed application and 20% deposit by 1 PM on Saturday, March 25, 2006 will be released

for reassignment to other exhibitors. 

 

 

Please note:  We cannot hold exhibit space without a

deposit and an application.

 

 

 

First Option

First option of exhibit space goes to the company that is currently in that space and has submitted a completed 2007 Exhibitor Application and paid the 20% deposit by 1 PM on  Saturday, March 25, 2006.

 

"First-Come, First Serve”

In fairness to all exhibitors, booth allocation is on a "first-come, first-served" basis. Each completed application is stamped with the date and time received.  Please turn in your application and deposit to the Conference Registration Desk for processing as early as possible. 

 

Indicate Booth Preferences

If you would like to change the booth assignment for the 2007 conference (location, size, number of booths), we strongly recommend that your current exhibit space is reserved with the completed application and 20% deposit. On the application, be sure to indicate the exhibit space choices in order of preference.

 

Please include the exhibit space number(s) desired, avoiding general terms such as, "Near the front" or "A good space in the Hilton." There is no limit to your number of choices, but please indicate the choices in order of preference.  The sooner your application and 20% deposit is received, the better your chances will be for relocation.

 

Final Notification

The Center on Disabilities will give final notification of each company's exhibit space location on or before May 12, 2006.

 

Exhibit Hall Floor Plan

Exhibits will be held in the Hilton Los Angeles Airport Hotel (International Ballroom and Pacific Ballroom), and the Airport Marriott Hotel (Marquis Ballroom, Imperial Ballroom, and Hall of Cities).  The booth layout of the exhibit halls is contingent upon the Fire Marshall’s approval.

 

Exhibit Booth Contact

On the 2007 Exhibitor Application, please indicate the name of the person who will be the authorized contact for exhibit fees, updates, service kits, and for any questions that may come up in the months preceding the conference.

 

Product and Service Description

Please provide a 50-word or less description of the company's product(s) and/or services and select the product and/or service category the company would like to be listed in for the Conference.

The Technology and Persons with Disabilities Conference includes a listing of exhibitors on the home page of the Center on Disabilities.  It will be activated on the web site starting

May 15, 2006, updated monthly and posted until April 15, 2007!  Please provide the company URL and it will be "hot-linked" between web sites.

Booth Fee (8' x 10' Exhibit Booth)

20% deposit of $359.00 is required to hold each single exhibit booth

$1995.00

20% deposit of 399.00 is required to hold each single exhibit booth

 

 

 

 

Island Fee (16’ x 20’ Island Area)

20% deposit of $1,575 is required to hold an island

Exhibiting Company Receives

 

Credit Cards

For the convenience of our exhibitors, VISA, MasterCard, and American Express credit cards are accepted.

 

Final Payment

In all cases, final payment is due and must be received or postmarked on or before

October 16, 2006. Any exhibit space not paid for in full by this date will be released. No deposits will be accepted after October 16, 2006; full payment will be required to secure exhibit space.

 

Cancellation of Exhibit Space

In the event exhibit space is cancelled between June 30, 2006 and December 1, 2006, there will be a $100 per booth/$400 per island cancellation fee. After December 1, 2006, there will be no refunds on any cancellations.  The Center on Disabilities reserves the right to cancel any exhibit space not paid for in full by October 16, 2006. A refund, if applicable, will be given and the exhibit space will be forfeited.  Note:  All cancellations will be subject to a non-refundable $25 application processing fee.

 

Free Copy of the 2007 Conference Attendee Mailing List

All companies exhibiting at the 2007 conference will be given a complimentary mailing list of all the attendees of the 2007 International Technology and Persons with Disabilities Conference. This mailing list will be sent to each exhibit company contact by email, unless otherwise instructed. The 2007 conference attendee listing will be sent by May 11, 2007.

 

Call for Papers

Should there be interest in presenting a paper at the International Technology and Persons with Disabilities Conference in 2007, applications may be submitted for consideration.  Papers must be received at the Center on Disabilities office no later than September 15, 2006.  For more information and speaker rates, please contact the office to request a “Call for Papers” brochure or access the Center on Disabilities’ web site.

 

 

Advertising in the Conference Program 

Conference Programs are distributed to participants at the conference. To place an ad in the 2007 Conference Program, please submit the "Conference Program Advertising Application” which will be sent to exhibitors and available on the conference web page.  The payment and artwork (electronic or camera ready, black and white only) must be submitted on or before January 10, 2007.

Advertisement Insert Service

Each registered conference attendee will receive a tote bag containing conference materials and your advertisement will be inserted if you wish to participate in this service.  Applications and full payment for the Advertisement Insert Service must be received no later than

January 5, 2007.

 

The advertisement insert service is limited to one piece, no larger than 8 ½” x 11”.  Multiple pages stapled, glued or bound together cannot be accommodated.  Each advertisement submitted for insertion will be billed per piece with a maximum allowance of five (5) pieces per company.

 

All shipments (international and domestic) must be received in the Conference Office no later than February 16, 2007. The Center on Disabilities is not responsible for materials delayed at Customs, nor will the Center pick up shipments at Customs.

 

Cost:

 

        $850: One page (no larger than 8 ½” x 11”)

 

PLEASE NOTE: The Conference does not have a free literature distribution table.
