2005 Pricing and Payment Information

Exhibit Booth Space Each 8' x 10' Exhibit Space Fee Includes:

$1595 (Early Bird), Postmarked on or before June 30, 2004
$1795 Postmarked on or after July 1, 2004
A check or credit card payment for 20% will hold the booth. Booth must be paid in full by October 15, 2004.

Booth Fees (16' x 20' Exhibit Island)
$6995 (Early Bird), Postmarked on or before June 30, 2004
$7795 Postmarked on or after July 1, 2004
A check or credit card payment for 20% will hold the booth. Booth must be paid in full by October 15, 2004.

Final Payment In all cases, final payment is due and must be received or postmarked on or before October 15, 2004. Any exhibit space not paid in full by this date may be released. No deposits will be accepted after October 15, 2004; full payment is required to secure exhibit space.

Cancellation of Exhibit Space In the event of a cancellation between June 30, 2004 and January 31, 2005, there will be a $100 cancellation fee. After January 31, 2005, there will be no refunds on any cancellations.

The Center on Disabilities reserves the right to cancel any exhibit space not paid for in full by October 15, 2004. A refund, if applicable, will be given, minus the $100 cancellation fee, and the exhibit space reassigned.

Exhibiting Rules and Regulations

Please read this information carefully, as it contains policies that will be consistently implemented. Your payment for exhibit space indicates that you have read these conditions and have agreed to follow them fully.

Exhibit Location The exhibit show will be located at the Hilton Los Angeles Airport & Los Angeles Airport Marriott Hotels in Los Angeles, California. Your exhibit space(s) have been assigned a number and location based on the exhibit policies of the Center on Disabilities.

Appropriateness of Company or Product to the Conference The Center on Disabilities reserves the right to determine the appropriateness of any company or product for exhibit.

Accessibility All companies exhibiting at CSUN's "Technology and Persons with Disabilities" conference are responsible for making their exhibit space accessible to persons with disabilities as required by the Americans with Disabilities Act (ADA), and shall hold the Center on Disabilities harmless from any consequences of the company's failure in this regard. Please be prepared to make all materials available in alternative formats.

Cancellation of the Conference California State University, Northridge, the Center on Disabilities, and the hotels shall be held blameless in the event of cancellation of the conference due to acts of God, labor disputes, fire, government relations or other causes beyond the control of California State University, Northridge, the Center on Disabilities, and the hotels.

General Rules of Conduct

Direct Cash Sales Direct cash sales are permitted. However, sales are limited strictly to educational curriculum materials. Items such as buttons, jewelry, etc. are not considered educational materials and direct cash sales of those items are strictly prohibited. As in the past, orders may be taken by exhibitors to secure sales.

Center On Disabilities Reserves the Right to Reconfigure Exhibit Halls If a reconfiguration becomes necessary, the Center on Disabilities reserves the right to relocate exhibit spaces to the best possible configuration.

Exposition Services The hotels are unable to store exhibit materials and/or show merchandise either prior to or at the conclusion of the conference. Please DO NOT ship any materials or equipment to CSUN or to the hotels. These items will be returned to sender. Furniture, labor, drayage, and special signs not included in the standard exhibitor fee may be ordered at the prevailing rate from the official conference contractor.

Electricity Needs The conference provides 500 watts of electricity for each 8' x 10' of exhibit space. Two 8' x 10' booths will be provided with 1000 watts of electricity. Islands (16' x 20') will be provided with 2000 watts of electricity. The conference also provides a power drop within all exhibit halls as "insurance" against electrical surges.

Phones Phone lines should be contracted through the Los Angeles Airport Marriott Hotel convention services, (310) 641-5700, if the company's exhibit space is at the Marriott. Please contact the Center on Disabilities' office (818) 677-2578, if the company's exhibit space is at the Hilton Los Angeles Airport Hotel.

Jurisdiction of Local Unions Members of the Teamsters Union and the Sign, Display & Allied Craft Union claim jurisdiction over the following: Operation of all materials, handling equipment, all unloading and reloading, and handling of empty containers. Overall setup and dismantling of exhibits, including signs and laying of carpet. Exhibitors may move material that is hand carried by one person in one trip without the use of hand dollies, hand trucks or other mechanical equipment. Exhibitors may also set up their display if one person can accomplish the task in less than 1/2 hour without the use of tools.

Security A professional security company will patrol the exhibit halls and meeting rooms after regular conference hours. As a precautionary measure, it is strongly recommended that laptops and any small electronic equipment be removed from the exhibit space at the close of exhibition hours each evening.

Liability The exhibitor assumes the entire responsibility and liability for losses due to theft or other conditions, damages, and claims arising out of injury or damage to exhibitor's display, equipment, and other property brought on the premises of the hotels and shall indemnify and hold harmless the hotel agents and employees, as well as employees of California State University, Northridge, and the Center on Disabilities, from any and all such losses by the exhibitor.

Amendments Any point requiring a decision relative to the exhibits, if not specifically covered in writing, is subject to determination by the Center on Disabilities. The Center shall have the sole authority to interpret and enforce all rules and regulations, to make any amendments thereto, and to make further rules and regulations as shall be deemed necessary for the orderly conduct of the conference.

Conference Itinerary The conference begins on Monday and Tuesday, March 14-15, 2005, with Preconference Workshops. There are no exhibits on these days. Exhibitor setup begins on Wednesday morning, March 16. The exhibit halls officially open to the public at 4 PM on Wednesday, March 16, at both the Hilton Los Angeles Airport and Los Angeles Airport Marriott Hotels. Wednesday evening is reserved for the "Opening of the Exhibits and Reception" at both hotels.

Booth Staffing Exhibitors are welcome to attend General Sessions at no additional cost, up to a maximum of 4 people per booth, 16 people per island. Additional staff members will be required to pay the regular conference rate to attend sessions; however, they may assist in staffing the exhibit space at no extra charge. Each exhibitor must submit a completed 2004 Exhibitor Staff Registration Form whether they are attending sessions or staffing the exhibit space. We must receive the forms no later than February 18, 2005 in order to prepare name badges. Exhibitor Staff Registration Forms will be sent to exhibiting companies in the first week of January 2005.

NOTE POLICY: Should exhibitors wish to attend Preconference Workshops, they must indicate workshops desired on the Exhibitor Staff Registration Form and pay appropriate preconference fees.

Name Badges Official conference name badges are to be worn at all times by those setting up exhibit space on Wednesday, March 16, 2005 and during all regular conference exhibition hours. For security purposes, exhibitors wishing to enter the Exhibit Halls before regular exhibition hours will be accompanied by a Center on Disabilities staff escort.

CSUN'S Virtual Exhibit Hall The "Technology and Persons with Disabilities" Conference Program, in which includes a list of exhibitors, is posted on the home page of the Center on Disabilities. It goes up on the website just prior to the conference and will remain until the next conference. Please provide the company URL and it will be "hot linked" between websites. Call For Papers If interested in making a presentation at the conference, papers may be submitted for consideration. Papers must be received at the Center on Disabilities office no later than October 1, 2004. For more information and speaker rates, please contact the office to request a "Call For Papers" brochure or access the Center's website.

Hotel Accommodations The official hotels of the conference are the Hilton Los Angeles Airport and the Los Angeles Airport Marriott. It is suggested that reservations be made early to secure a room. The hotels will honor the discounted conference rate until February 25, 2005, provided there are rooms available within the CSUN room block. When making reservations, refer to California State University, Northridge, Center on Disabilities.

NOTE: Please advise the hotel of any special accommodations required when the reservation is made. Both hotels offer free shuttle bus service between LAX airline terminals and the hotels.
