Late Change of Schedule
On these pages you’ll find calendars and the policy for changing your academic schedule after the first instructional day of the fall and spring semesters and the summer and winter academic terms.
For Spring 2008, the last day to change your academic program without a formal request is Friday, February 8, 2008.
For Summer Term 2008, the last day to change your academic program without a formal request varies by session—
Sessions 1 and 2: Friday, June 6, 2008
Session 3: Friday, July 18, 2008
For Fall 2008, the last day to change your academic program without a formal request is Friday, September 12, 2008.
What is the Late Registration/Schedule Adjustment Period?
Late registration and schedule adjustment is the period of time between the first instructional day of an academic term and the last day that students are allowed to late register and/or change their academic schedules (add, drop, swap classes, or change grading basis). Permission numbers are required to add classes during this period.
Deadlines for the Late Registration/Schedule Adjustment Period vary by academic term. The shorter the term, the shorter the late registration and adjustment period. Click the Adjustment Charts to the left to view instructions and deadlines for each term.
A $25.00 non-refundable late fee is charged for Late Registration. The charge will display in your Student Center (SOLAR) account.
General Policy
Enrollments recorded by the end of the Late Registration/Schedule Adjustment Period, defined for each academic term in the Adjustment Charts to the left, are considered official and unalterable.
In the fall and spring semesters, partial and complete withdrawals (i.e., dropping one, some or all classes) should be completed in the first three weeks of classes. To adjust their schedules during the fourth week of instruction, students must have a serious and compelling reason that is approved by the instructor and department chair of the course.
Students seeking schedule adjustments in the fall or spring semester during the fourth week of instruction should do so early in the week to ensure that they obtain all required signatures on the 4th Week Change of Schedule Request and submit the form to Admissions and Records before the deadline. No Change of Schedule Request will be accepted after the fourth week.
Students are solely responsible for taking the correct actions that are described above and on the forms to register late or to adjust their schedules during the Late Registration/Schedule Adjustment Period. Instructors cannot officially add or drop students or change the basis of grading.
Changes in academic schedules after the end of the Late Registration/Schedule Adjustment Period, or after the twentieth day of instruction (i.e., Week 4) of the fall or spring semesters, are rarely approved and only in cases where the student can provide written proof of extraordinary circumstances that have arisen from events beyond his or her control.
For all academic terms, the situations listed in the paragraph below DO NOT meet the criteria of extraordinary circumstances. Furthermore, there must be no viable alternative to the requested change, such as repeating the course or enrolling in the course in the following term.
The following situations ARE NOT considered extraordinary circumstances and WILL NOT be approved to justify a change in schedule after the end of the Late Registration/Schedule Adjustment Period nor after the fourth week of instruction in the fall and spring semesters:
- failing the class or receiving less-than-desired grade;
- waiting for the instructor to give a permission number;
- failing to take action to add or drop a class, assuming incorrectly that the instructor will do it for the student;
- failing to make payment of registration and/or waiting for financial aid;
- the need to work because of financial considerations or opportunities;
- encountering a situation that should have been anticipated, such as the need to have transportation, the need to pay for ordinary living expenses, the need for child care;
- aspirations of either the student or his/her family in regard to GPA, the dean's list, graduate school, scholarships, etc.;
- dissatisfaction with course material, instructor, instructional method, or class intensity;
- lack of motivation, change in academic interests, or change of major;
- participation in extracurricular activities; or
- academic overload and inability to keep up in all classes.
The following situations are typically the only ones that would meet the standard of extraordinary circumstances for which there is no viable alternative and would justify a change in schedule after the twentieth day of instruction:
- medical documentation that the academic schedule is detrimental to the student's physical or mental health (see section on Complete and Partial Medical Withdrawals)
- activation for compulsory military duty
- relocation out of the immediate area
Students who think that their situation meets the criteria for extraordinary circumstances for which there is no viable alternative can do the following:
- Undergraduate/Second Bachelor’s Students – Complete the Late Change of Academic Schedule Request for Undergraduate Students
- Graduate/Credential/PBU Students – Complete the Late Change in Academic Schedule Request for Graduate Students
Reducing the number of enrolled units may affect your eligibility for Campus Housing, International Student Status, Financial Aid and more. A Financial Aid student who reduces the number of units or who completely withdraws may be subject to REPAYMENT (including medical withdrawals). Before adjusting your schedule, review the Information Regarding Change in Program or Schedule and consult the appropriate offices for guidance.
Complete and Partial Medical Withdrawal
A medical withdrawal usually constitutes complete withdrawal from the University for the academic period in question. Medical withdrawals may be granted solely for established medical purposes and will be considered on a case-by-case basis.
The Klotz Student Health Center is responsible for complete medical withdrawals during the current academic term. To begin the process, the student should call (818) 677-3691, refer to the Klotz Student Health Center website, or visit the Health Center Room 235.
Medical withdrawals due to illness in the family will be granted only if the attending physician stipulates that the student is needed to care for the family member. To request a medical withdrawal to care for a family member, submit a Late Change in Academic Schedule Request for Undergraduate Students form to the appropriate College Associate Dean along with a letter from the health care provider.
In cases where medical evidence and the specific physical demands and environment of the classes overwhelmingly support withdrawal from only a portion of a student's program of study, partial withdrawals may be permitted.
Students seeking a partial medical withdrawal during the current academic term must take the following steps:
Undergraduate/Second Bachelor’s Students—
- File BOTH of these forms: Request for Partial Medical Withdrawal (PMW) for Undergraduate Students AND Partial Medical Withdrawal Health Provider Report
- Obtain all required signatures on both forms.
- Your request must describe a direct correlation between the medical condition and the particular course(s) being petitioned.
- Submit the completed, signed medical withdrawal forms and attachments to Undergraduate Studies, University Hall 215.
Graduate/Master's Degree/Credential/PBU Students - Request any type of medical withdrawal by applying directly to the Klotz Student Health Center.
